Collect membership fees in ClubMeister

Set up team fees, let members pay securely by card in one tap or in installments, and keep track of exactly who has paid — all from inside ClubMeister.

What payments & fees do

Payments let your team collect membership fees without chasing bank transfers. An admin sets up one or more fees, members pay them by card, and admins can see collection totals and who still owes at a glance. Card payments are handled securely by Stripe, so card details are never stored in ClubMeister. Payments are available on every plan, including Free — the only thing that changes between plans is the small platform fee (see Plans & pricing).

Payments are a beta feature that we're rolling out gradually. If you don't see the Payments options in your menu yet, they haven't been switched on for your team — they'll appear automatically once they're available.

Set up payments (admins)

Before anyone can pay, an admin connects the team's payout account once. Open Team Fees from the menu (or the web sidebar). If the team isn't connected yet, you'll see an Accept payments with Stripe card that explains secure checkout, payouts to your club's bank account, and the fees involved.

  1. Tap Connect with Stripe to open Stripe's secure setup and enter your club's payout details.
  2. Until setup is finished you'll see a Finish your Stripe setup banner with a Continue setup button. Follow it back to Stripe to complete any remaining steps.
  3. Once Stripe confirms everything, the banner changes to Payments active and you can start creating fees.

On the phone app, after finishing setup in Stripe, come back to ClubMeister and pull down to refresh the Team Fees screen so the status updates. Tap the How payments work link any time for a fuller explainer.

Create a fee (admins)

With payments active, you can add as many fees as you need — for example a season membership, a tournament levy or a kit contribution.

  1. On Team Fees, tap Create New Fee. (The very first time you'll see "No fees yet — Create your first membership fee to start collecting payments.")
  2. Enter a Fee name, an Amount and a Currency (USD, EUR or GBP).
  3. Choose how members get the fee:
    • Self-Select — members see the fee on their Payments screen and choose it themselves.
    • Admin Assigned — the fee only appears for members you assign it to.
  4. Optionally switch on Allow installment payments and set the Number of installments. A preview shows the amount of each installment.
  5. Tap Create Fee. You'll see "Fee created successfully!" and the fee appears as a card showing its amount and installment details.

Each fee card has a menu to Edit it (including switching between Self-Select and Admin Assigned) or Archive it. Archiving removes the fee from everywhere after you confirm.

Pay a fee (members)

Open Payments from the menu to see the fees available to you — any self-select fees for your team, plus anything an admin has assigned to you.

  1. Pick a fee, then choose a Payment Option: Pay in Full, or pay in installments (you'll see the amount due today for the first installment).
  2. Tap Pay. You'll be taken to Stripe's secure checkout to enter your card details.
  3. After paying you'll land on a Payment successful screen. Tap Continue to return to Payments.

A fee you've settled shows a PAID chip. If you're paying in installments, the fee shows your progress (for example "2/4 PAID") with the amounts paid and remaining, and a Continue - Pay button to pay the next installment. Once everything is settled you'll see "Payment Complete — Thank you for your payment!".

If your team hasn't finished setting up payments yet, the Payments screen shows "Payments aren't set up yet" instead of any fees. Ask an admin to connect payments first.

See who has paid (admins)

Open Payments Overview to follow collection for any fee. Use the fee selector at the top to switch between fees, and pull down to refresh.

  • Stat cards show how much you've Collected, the collection Rate, and how many members are Complete, all in the fee's currency.
  • Members are grouped by status so you can see who has paid in full, who's part-way through installments, who has selected but not yet paid, and who hasn't started.
  • For Admin Assigned fees you can Assign Fee to individual members, or use Assign All to assign several at once. You can also Unassign a member who hasn't started, which cancels their open request.

When you assign an admin-assigned fee, it appears on that member's Payments screen ready to pay.

Good to know

  • Assigned fees are pay-in-full. When you assign a fee to a member it's set up to be paid in one go, so an assigned fee can't be switched to installments.
  • Reminders aren't available yet. Sending payment reminders is still on the way, so for now nudge members through your usual team chat.
  • What the fees are. ClubMeister keeps a small platform fee on each payment (this depends on your plan), and Stripe's card-processing fees are deducted from payouts. The exact amounts are shown to admins during setup.

Archiving a fee hides it from members immediately — even from someone who is part-way through paying it in installments, who then can't pay the rest. Make sure open installment payments are settled before you archive a fee.
