AI connections — Claude & ChatGPT

Connect ClubMeister to the assistant you already use, then run your team by asking. "Who keeps missing training?" "Move Thursday's session to the other pitch." "Post that the bus leaves at 09:00."

What it is

ClubMeister can be added to Claude or ChatGPT as a connector — an open standard called MCP that lets an assistant work with a real app instead of guessing. Once you've connected it, your assistant can answer questions about your team from live data and make changes on your behalf. In September 2026, OpenAI accepted the ClubMeister connector into the official ChatGPT Plugin directory, so ChatGPT users can also find and add it by name, rather than only as a custom connector. Connect your assistant

1. In ClubMeister, open the side menu and tap AI connections in the Admin section. On the web, open AI connections in the sidebar's Manage section.
2. Copy the connector URL with the copy button. It's https://admin.clubmeister.app/mcp.
3. Pick Claude or ChatGPT in the How to connect card and follow the numbered steps — both come down to adding a custom connector and pasting that URL.
4. Your assistant opens a ClubMeister sign-in page. Sign in with your ClubMeister email and password.
5. Choose which team to connect, read the summary of what the assistant will be able to do, and tap Connect. You're returned to your assistant, and the connection appears in your list.

Which teams a connection can reach

A connection is tied to the team you choose when you connect. It can never read or write another existing team's data — not even another team you run yourself. If you administer two teams and want both, connect twice and pick a different team each time. Both appear separately in your list.

The one exception is a team you ask the assistant to create. "Set up a U12 girls team in our club" adds the team to your club with you as its admin, and the assistant then works on the new team — its venue, its training series, its invite link — until you say "switch back to the first team". On the AI connections screen the connection lists those teams under its own ("Also manages teams it created"), and disconnecting ends access to all of them. At most three new teams per connection per day.

What it can and can't do

On the AI connections screen, tap What it can do with your team to see the exact list, split into Can see and Can change — filtered to your own role, so it shows what you are actually granting.

Broadly, a connected assistant can:

• See your team overview and join link, events and who's answered, line-ups and event data, members and their roles, who is waiting to join, venues, posts and polls, your custom fields and — when you ask — members' answers to them, the ballots you're on, and attendance statistics.
• Change things by creating and editing events, cancelling them, setting RSVPs, publishing posts with photos and polls, adding and editing venues, inviting people by email, approving join requests, setting line-ups, filling in event data and profile fields, adding custom fields, preparing a ballot or ending its voting early, editing team settings, and creating a new team in your club.

It deliberately cannot:

• Read or send team chat, group chats or direct messages — chat isn't exposed at all.
• Delete anything. Cancelling an event is as destructive as it gets, and you can undo that in the app.
• Remove a member, change anyone's role, or decline a join request.
• Vote in a ballot, publish its outcome, or see how anyone voted. Members vote in the app, where their vote stays secret.
• See profile fields that are hidden from profiles.
• Touch payments, fees or anything to do with money.

Your role still decides

The connector never grants more than your own role allows — it uses the same permission switches as the app, checked fresh on every single request rather than stored when you connected. In practice:

• An admin whose role can't create events won't see Create an event in the capability list, and the assistant won't be offered it.
• If your role is downgraded, or your membership is deactivated, the next thing the assistant tries fails with a plain explanation.
• Anything created through the connector is attributed to you — a post shows your name as the author, just as if you'd written it in the app.

Posts with photos

An assistant can't hand over a file, so give it links to the photos (up to four, JPEG, PNG, GIF or WebP, 8 MB each). ClubMeister downloads each one and stores its own copy with the post, exactly like a photo picked in the app — so the post doesn't break if the original site moves the picture. If a link doesn't work, nothing is published. Videos can't be embedded; put the link in the text.

Ballots

The assistant can prepare a ballot — candidates, voting window, who may vote, who runs it and the election committee — and end voting early if you run it or sit on its committee. It sees the ballots you're on, how many have voted (never who, here), and once voting closes the result you're entitled to: the full count if you're on the committee, otherwise the published outcome. Voting itself, publishing the outcome, runoffs and corrections stay in the app.

Disconnect an assistant

1. Open AI connections and find the connection under Your connections.
2. Tap Disconnect and confirm.

Access stops immediately — the assistant's access is revoked in the same moment — and the row moves to Disconnected. You can connect again any time.

Each connection also shows when you authorized it and when it was last used, so you can spot one you've forgotten about. You see and manage your own connections; other admins' connections are theirs to manage.

Security & privacy

• Connecting uses OAuth — the standard "sign in and approve" flow. Your ClubMeister password is never given to the assistant.
• Access is scoped to the team you connected (plus teams you create through it) and to your own role's permissions.
• Every request is logged, so there's a record of what was done and when.
• You can revoke at any time from the app, without help from us.

What personal data is shared

Before any answer leaves ClubMeister, it passes through a privacy filter on our server. It applies to everything the assistant reads, whatever it asks.

• Names are shortened to first name and surname initial — "Anna M.". If two members would look the same, a letter or two more is added ("Anna Me." / "Anna Mü."). You can still say "invite Anna Meier": the full name is matched on our side and never sent back.
• Email addresses and phone numbers are left out, unless you explicitly ask the assistant for a member list with contact details and your role can see them.
• Contact details typed into text — emails, phone numbers and bank details (IBANs) in posts, event descriptions, notes or carpool comments — are replaced with [email], [phone] or [iban].
• Profile fields your club collects (custom data) are only shared when you ask for them, and fields hidden from profiles never.
• Never shared: birthdays, home addresses, where a carpool driver starts from, their location or their vehicle, how anyone voted in a ballot, and chats, payments or passwords.
• Shared as-is: RSVPs, running-late times, check-ins and attendance rates per member, roles, positions and join dates, venues, and the text of posts, events and notes. That's what the assistant needs to answer "who's coming?" and "who keeps missing training?".

A name someone typed into a post or description stays as it was typed. And bear in mind that anything your assistant reads becomes part of that conversation, wherever it's hosted, under that assistant's own terms. Tell your members before you connect, and connect assistants you're comfortable handling your club's roster and schedule.
