RSVP reminders: nudge members by text or email
Chasing a headcount? On a paid plan, an event organizer can remind the members who haven't responded yet. Members with a US number get a text they can answer with YES or NO; everyone else gets an email with one-tap RSVP buttons.
What reminders do
A reminder goes out for a specific event to the members who haven't RSVP'd yet. Anyone who has already answered Going, Maybe or Not going is left out automatically. The message names your team, the event, the time and place, and lets the member answer straight away.
Reminders are manual: you decide when to send one. ClubMeister doesn't send automatic text or email blasts. Day-to-day nudges also go out as free in-app push notifications.
Text or email: who gets what
- US phone numbers (+1): a text message. Members reply YES, NO or MAYBE and their RSVP is updated.
- Every other country, or no phone number: an email with Going / Maybe / Can't make it buttons. A tap opens a short RSVP page in the member's language.
- US organizers can choose in the reminder sheet to send everything by email instead of text.
Members without a phone number and without an email address can't be reminded and show up as skipped.
What you need
- A Club or League plan. On the Free plan the button appears with a lock and points you to the plans.
- Members with a US phone number (for texts) or an email address (for emails) in their profile.
- Permission to edit the event (see Who can send them).
Send a reminder
- Open the event and go to its RSVP tab.
- Tap Send RSVP reminder.
- Choose who will be notified: All members who haven't responded, or Select individual members.
- In the US, choose SMS or email.
- Leave Skip already reminded on if you don't want to remind members who already got a reminder for this event.
- Tap Send.
Check the delivery report
Right after sending, a report shows each recipient as Sent, Failed or Skipped, with the reason, for example "Sent by email" or "No phone number or email". You can reopen the report from the event later.
Limits that protect your club
- With Skip already reminded off, a member gets another reminder at most every 12 hours and at most 3 times per event.
- Each club can send up to 500 texts per day. Members over the limit get an email instead.
Allowances & costs
Each paid plan includes a monthly free-SMS allowance for your club: 100 texts/month on Club and 300 on League. Beyond the allowance, extra texts cost 1¢ per SMS, billed by use. Reminder emails are free and don't count against the allowance. See Plans & pricing for details.
Turning reminders off
Members can turn off reminder texts and reminder emails separately in their settings. They can also reply STOP to any text (or HELP for assistance), or use the unsubscribe link in any email. This only affects RSVP reminders, not emails an admin sends to the team. Message frequency depends on your team's activity; message and data rates may apply. Who can send them
Only people who can edit the event: its organizer (creator) and members with event-edit permission (see Roles & permissions). Upgrading the plan is done by the club admin.
Common questions
Are reminders automatic?
No. An organizer chooses when to send a reminder for a specific event. ClubMeister does not send automatic text or email blasts.
Who gets a text and who gets an email?
Texts go only to members with a US phone number (+1). Everyone else, and members without a phone number, get an email with one-tap RSVP buttons. In the US the organizer can also choose to send everything by email.
Do I need a paid plan?
Yes. Reminders are a Club and League plan feature. Texts count against the club's monthly free-SMS allowance; reminder emails are free.
How do members stop reminders?
They can turn off reminder texts or reminder emails in their settings, reply STOP to a text, or use the unsubscribe link in an email.
