SMS reminders: nudge members to RSVP
Chasing a headcount? On a paid plan, an event organizer can text the members who haven't responded yet — a quick, personal nudge that lands even when the app notification didn't.
What SMS reminders do
An SMS reminder is a text message sent for a specific event to the members who haven't RSVP'd yet. Anyone who has already answered Going, Maybe or Not going is left out automatically — so you only nudge the people you're still waiting on. The text names your team, the event, the time and place, and asks them to reply to confirm.
SMS reminders are manual — you decide when to send one for an event. ClubMeister doesn't fire off automatic text blasts. Day-to-day nudges also go out as free in-app push notifications.
What you need
- A Club or League plan — SMS reminders are included on paid plans with a monthly free-SMS allowance. On the Free plan the button appears with a lock and points you to the plans.
- Members with a phone number saved in their profile — anyone without one is skipped.
- Permission to edit the event (organizers and admins — see below).
Send a reminder
- Open the event and go to its RSVP tab.
- Tap Send RSVP reminder.
- In the sheet, choose who will be notified: All members who haven't responded, or Select individual members and pick from the list (each row shows their RSVP status).
- Leave Skip already reminded on if you don't want to text members who already got a reminder for this event.
- Tap Send. Members receive a text asking them to reply to confirm or decline.
Check the delivery report
Right after sending, a report shows each recipient as Sent, Failed or Skipped, with the reason — for example "No phone number" for members who haven't added one. You can reopen the SMS delivery report from the event later to see what went out.
Allowances & costs
Each paid plan includes a monthly free-SMS allowance for your club — currently around 100 texts/month on Club and 300 on League. Beyond the allowance, extra texts are billed as a small pay-per-use amount (about 1¢ per SMS). Allowances are per club, per calendar month. Because reminders only go to non-responders, you spend far fewer texts than a blast to the whole squad — a nudge to the last handful is usually all it takes.
Phone numbers & opting out
Members receive texts only if they've added a phone number to their Account profile (the field notes it's "needed for SMS reminders"). To stop receiving them, a member can reply STOP to any message at any time, or reply HELP for assistance. Message frequency depends on your team's activity, and message and data rates may apply. Who can send them
Anyone who can edit the event can send its SMS reminders — that's the event's organizer (creator) and members with event-edit permission (see Roles & permissions). Buying or upgrading the plan that unlocks SMS is done by the club admin.
